Reservations

A: Yes, a provisional reservation is possible up to one month prior to your desired date. However, please kindly note the following:

・In the event that another customer inquires about the same date and wishes to make a confirmed booking, we will require you to decide whether to proceed with a formal reservation or cancel within two business days.

A: Upon receiving your decision to proceed with the booking, our representative will provide you with a Facility Use Application Form. To finalize your reservation, please complete and return the form with all the required details.

Please be aware that a cancellation fee will apply if you decide to cancel after making a confirmed reservation.

Technical

A: When using our facility for a fully online hearing, the following options are available:

  • Witness Examination with Online Participation: By utilizing our venue, we can set up surveillance cameras to monitor for any misconduct from all angles, and provide camera and equipment configurations to ensure there is no unauthorized coaching.
  • Participation of Arbitrators Only: There are cases where only arbitrators participate from the facility. This is suitable when arbitrators are required to gather at a single location.
  • Use by One Party’s Representatives, Clients, or Witnesses Only: It is possible for only the claimant or the respondent to use the venue.
  • Support for Online Consecutive Interpretation and Sign Language Interpretation: Interpreters can come to the facility and proceed using stable equipment setups.

A: As a general rule, additional equipment can be arranged if it is available. However, please note that we may not be able to accommodate last-minute changes for complex wiring or significant adjustments to the current setup, especially just before the event begins. External rental equipment cannot be arranged on the day, so we kindly ask you to consider your requirements in advance.

A: Yes, we have technical specialists on-site at all times, ensuring prompt assistance in the event of any issues.

A: Yes, we provide a dedicated wired LAN (available only in the Hearing Room) and WiFi access. The WiFi ID and password will be available on the desk in every room.

A: The rental PCs come with Microsoft Office 365 or Office 2019 pre-installed. If you require any additional software, please let us know in advance, and we will do our best to accommodate your needs.

Related to the day of the hearing

A: Yes, it is possible. Due to management procedures, we kindly ask that any packages arrive by 4:00 PM on the business day before your scheduled use. Please inform us in advance of the number of packages and their tracking numbers.

A: Yes, it is possible. If you would like the facility to arrange a courier, please use the waybill provided by TFAH (personal waybills are not accepted).
For same-day pick-up, you must confirm the number of packages by 3:00 PM and have the parcels ready by 5:00 PM. If this is not possible, the parcels may be sent on the following business day. We appreciate your understanding.

Please note that shipping fees will be billed to the applicant after usage. If the billing details need to be changed, please consult TFAH staff directly.

A: Yes, we can provide services at alternative venues by bringing in technical equipment and other necessary items. However, please note that availability may depend on the venue specifications and the service requirements. For further details, please contact us via the inquiry form.

A: We offer document dissolution services. We will securely collect your documents and ensure their complete destruction. If you prefer to shred the documents yourself, external rental of a shredder will be required in advance. Please feel free to ask our staff for assistance.

A: Entry and exit will be according to your reserved time.
Please make your reservation with time for setup and cleanup in mind. Additionally, please note that extensions on the day of the event may not be possible. We appreciate your understanding.

A: The furniture layout and any rented equipment will be set up prior to your entry, based on prior discussions. However, any equipment or items you bring will need to be set up during your reserved time.
There is no need to restore the venue to its original condition after use.

A: Yes, copies are available for a fee (please refer to the price list).
For copying, simply provide the original document to our staff, and we will make the copies. Please specify whether you need single or double-sided, color or black-and-white copies.

For data printing, you can either provide the data to TFAH staff or insert a USB drive into the printer (PDF, Word, or other formats). We also have USB drives available for rent.
If you prefer to use a rental PC (available for a fee), you can also print directly from there.

Other questions

A: Reservations can be made on weekdays from 9:00 AM to 6:00 PM.
Event bookings are available 24 hours a day, 365 days a year. However, please note that there may be restrictions on building access during nighttime hours or on holidays. We will provide further details when you make your reservation.

Please note that certain dates may be unavailable due to building inspections.

A: There are no vending machines within our facility.
Please use the Seijo Ishii store or Starbucks Café located on the first floor of the building. Both stores are outside the building’s security gates. If you exit the security gate and need to re-enter, please inform the gate security and keep your entry pass with you.

A: There is no smoking area within our facility.
However, there is a designated smoking room for heated tobacco on the second floor of the Ark Mori Building. Please refer to this floor map.

To access the second floor, please exit the first-floor security gate and take the escalator. If you exit the security gate and need to re-enter, please inform the gate security and keep your entry pass with you.

A: There is no multi-purpose restroom within our facility.
We kindly ask that you use the multi-purpose restroom located on the first floor of the Ark Mori Building.

A: Payments can be made after usage if the applicant is a law firm or similar entity. The payment deadline is set for the end of the month following your usage.

A: We can issue separate invoices with different details and billing names.

A: While breaks can be taken within the rented rooms of our facility, there is also an area called Karajan Plaza on the second floor of the building, which is equipped with chairs and tables for free use.
